AI consulting for businesses
Agents in view.
Costs and rules too.
We build an overview of your Copilot agents, their usage and costs, linked to responsibilities, rules and a managed lifecycle. Built from the data your tenant already provides, with no additional licence per user.
What your tenant shows today. And what you are missing.
Microsoft 365's built-in tools show how many licences are assigned and how often Copilot is used in Word, Excel, Teams or chat. They do not answer the questions IT management, security and controlling ask: Which agents actually exist, from Microsoft 365 Copilot, the full and Lite versions of Copilot Studio, SharePoint Agents and Agent Builder? Who owns them? Which data do they touch? What does each one cost, in licences and consumption? And who switches off what nobody uses any more?
Consumption data, credits and usage-based billing sit in separate reports and portals, without links to use cases, owners or cost centres. We close this gap with a governance data source that connects inventory, approval, costs and retirement.
Cost transparency per agent, without an Agent 365 licence
Microsoft offers the control layer for agents as a separate product, licensed per user per month, on top of Copilot licences. You do not need it for the core governance questions. Usage, consumption and credits can be read through your tenant's existing interfaces, licences compared with actual usage, and both assigned to use cases and cost centres.
The result is a list showing what each agent costs, who uses it and who is responsible for it. A licensing debate becomes a portfolio decision: renew, rework or switch off. The reports belong to you, run in your environment and do not tie you to another licensing tier.
Building blocks
What we build and hand over to your operations team.
No company needs all the building blocks at once. The order depends on where it hurts first, and usually that is the simplest question: What is actually running here?
Agent inventoryEvery agent with an owner, use case, data sources, environment, approval status and current status in a governance data source. Without an entry, an agent does not formally exist.
Lifecycle from request to approvalRequest, business and security assessment, approval, publication and scheduled review. The same path for agents from IT and business departments.
RetirementAgents without usage, owners or use cases are switched off in stages: inform, remind, deactivate, archive, revoke identity.
DLP and connector rulesWhich connectors may interact with which data, set per environment. Data leakage is technically prevented rather than merely prohibited.
Identity and rolesA separate identity for each agent in Microsoft Entra, with a lifecycle like an account. Roles for building, approving, operating and using.
Environments and ALMDevelopment, testing and production with Application Lifecycle Management via Azure DevOps. An agent follows the same path as an application.
Costs, licences, consumptionRead credits and consumption, compare licences with usage, assign both to use cases and cost centres. A monthly report.
Dashboards and reportingGovernance, usage and cost views in Power BI: one for IT management, one for security and compliance, one for the business department.
Phased retirement and clearly separated figures
We do not retire inactive agents abruptly. After a defined period without use, the responsible party is first notified, followed later by a reminder, then deactivation and only then archiving, with minimum intervals between stages. This prevents agents from disappearing unexpectedly and gradually reduces unused agents instead of deleting them all at once.
For reliable usage figures, we count separately what is often mixed together in raw data: Copilot Chat, Microsoft 365 Copilot in Word, Excel and Teams, Microsoft's own agents and custom agents in Copilot Studio. User identifiers are pseudonymised during ingestion, before they enter the analysis. Technical access uses managed identities; notifications use a narrowly scoped service.
Who it is for
As soon as several departments can build at the same time.
Copilot Governance is a question of distribution, not company size. Agents emerge faster than a central team can keep track of them. That is exactly when the need begins.
IT management and platformRetain control without slowing down business departments: inventory, environments, approval workflow and an operational process instead of case-by-case decisions.
Security and complianceWho accesses which data with which permissions, and can it be demonstrated? DLP and connector rules, agent identities, logs and reports.
Controlling and procurementWhat does it cost, and what does it deliver? Consumption and licences per use case and cost centre, monthly, without ad hoc analysis.
Business departmentsA path with deadlines instead of a queue without rules. Anyone requesting an agent knows what they must provide and when they will receive an answer.
How an engagement works
We first clarify the process, data and responsibility behind a use case, and only then the tool used to build it. First structure, then the agent.
Assessment. Which agents exist, who owns them, which data they touch and what they cost. Result: a list and an order of priorities.
Rules. Who may build, who approves, which sources and connectors are permitted and what happens on expiry. Result: decisions, not a recommendation.
Platform. The building blocks in the order in which they have an impact. Result: enforceable rules instead of requests.
Operational handover. Roles assigned, documentation handed over, training completed and reporting frequency agreed. Result: governance that survives a holiday.
We built these building blocks for a group-wide governance framework and handed them over to operations: Microsoft 365 Copilot, Copilot Studio, SharePoint Agents, Entra Agent ID, DLP and connector governance, three environments with ALM via Azure DevOps, Copilot Insights and Credits API, Power BI dashboards. This includes regular technical exchange with Microsoft FastTrack in enterprise projects.
Frequently asked questions
Do we need Microsoft Agent 365 for this?
No. We build inventory, cost and usage transparency, lifecycle and retirement on the interfaces your tenant already has. If you introduce Agent 365 later, the inventory, rules and reports remain usable.
Where do the cost and usage data come from?
From the usage and consumption interfaces of Microsoft 365 Copilot and Copilot Studio, the licence inventory and, where available, usage-based billing in Azure. At the outset, we check which data is available in your tenant.
Is this a solution for our specific tenant?
Yes. Available data, platform capabilities and organisational requirements determine the design. The components run in your environment, on your data, with your roles.
What is your experience based on?
A group-wide Copilot governance framework that we designed, implemented and handed over to operations, and ongoing exchange with Microsoft FastTrack in enterprise projects.
Does this replace a data protection review?
No. The components provide the groundwork: inventory, data sources and roles. The formal assessment is a separate service; see AI data protection review.
